A commercial coffee machine earns its keep between seven and eleven in the morning. If it stops then, the cost is not the repair bill. It is the queue that walks out, the staff standing idle and the regulars who try the café next door. One Click Dubai sends a technician to cafés, restaurants, hotels, offices and canteens the same day, finds the fault on site and quotes one price before any part is fitted.

This page is written for the person who runs the machine, not only the person who fixes it. It explains what each kind of commercial machine does, which symptom points to which part, what Dubai's water does to the inside of a boiler, what a service plan should include, and how to keep trading on the day a machine fails.

We repair on site wherever the fault allows. A machine goes to the workshop only when the repair cannot be done on the bar, and only with your agreement.

## Commercial coffee machine repair in Dubai: what we fix and what it costs

The visit costs AED 100 plus 5% VAT, and the technician uses it to find the fault. After that you receive one price for the repair. Commercial coffee repairs come between AED 80 and AED 400 depending on the fault, and the price covers genuine parts and labour.

- Same-day visits, with café and hotel breakdowns booked first.
- Espresso machines, bean-to-cup machines, batch filter brewers, grinders and pod machines.
- On-site repair as the first choice, workshop pickup for complex faults.
- A month of cover on every part we fit.
- Service visits and service plans, so faults are found before service hours.

| Job | Where it sits in the range |
| --- | --- |
| Group gasket and shower screen | Lower end |
| Steam tip, wand seal or steam valve seal | Lower end |
| Backflush, solenoid clean, descale and flush | Lower end |
| Water filter or softener service | Lower end |
| Pressure switch, level probe or fill valve | Middle |
| Pump or motor | Middle |
| Grinder burrs or grinder motor | Middle to upper |
| Heating element or boiler seal | Upper end |
| Control board or touch display | Upper end |

Because the range is wide, the useful number is the one on your own quote. We give it after the diagnosis and before any part goes in.

## Which commercial machine do you have?

Commercial coffee equipment falls into a few families, and each fails in its own way. The model name is on the front, and the rating plate on the back or underside carries the serial number and electrical rating. A photo of that plate when you book tells us which parts to bring.

| Machine type | How it works | What fails most often |
| --- | --- | --- |
| Traditional espresso machine, 1 to 3 groups | A barista grinds, doses and tamps, locks the portafilter into a group head, and steams milk with a wand | Group gaskets, shower screens, solenoids, pumps, steam valves, pressure and level controls |
| Volumetric or automatic-dose espresso machine | As above, with buttons that stop the shot at a set volume | Flow meters, solenoids, control boards, buttons |
| Bean-to-cup (fully automatic) machine | Grinds, tamps, brews and often froths milk at the touch of a button | Brew unit, grinder, milk system, scale, error messages |
| Batch or filter brewer | Hot water drips through ground coffee into a jug or airpot | Heating element, thermostat, spray head, fill valve, scale |
| Pod and capsule machine for offices | Pierces a pod or capsule and pushes hot water through it | Pump, blocked needle, leaks, scale |
| Commercial grinder | Flat or conical burrs, on demand or with a doser | Worn burrs, motor, jammed chute, grind drift |

The brand matters less than the family. A Rancilio, a Gaggia, a La Marzocco and an Astoria share the same working parts, so the same checks apply. Brand-specific notes are on our pages for [Rancilio](https://oneclickdubai.com/services/rancilio-coffee-machine-repair-dubai) and [Gaggia](https://oneclickdubai.com/services/gaggia-coffee-machine-repair-dubai), and the main [coffee machine repair](https://oneclickdubai.com/services/coffee-machine-repair-dubai) page covers the rest.

## Who should repair it: supplier, warranty and agreements

In Dubai, many café machines arrive through a coffee supplier. The supplier lends or leases the machine, the café buys beans from them, and the agreement says who services it. Read the agreement before you call anyone, because if the supplier is obliged to repair the machine, a third party opening it may breach the contract.

| Your situation | What we suggest |
| --- | --- |
| New machine, fault in the first year | Return to the dealer with the receipt and the warranty card |
| Machine supplied under a coffee agreement | Call the supplier first. If they cannot attend in time, tell us and we will explain what we can do within the contract |
| Machine you own, out of warranty | Book us |
| Second-hand or imported machine | Book us, and send the rating plate photo first |
| Rented machine | The owner is usually responsible, so check before calling |

We are independent of the machine makers. If your machine should go back to the dealer or supplier, we say so before we touch it.

## Fault guide: find the symptom, find the likely part

A good technician measures before replacing. These are the symptoms we meet most often, with what they usually mean. They are a guide for the operator, and the diagnosis on site confirms it.

### Machine not heating

- Scale on the heating element or inside the boiler slows heat-up.
- A thermostat or pressure switch has failed, so the heater never switches on or never switches off.
- A heating element has failed. This is a higher-end repair.
- A thermal fuse has blown after the machine ran dry or overheated.
- A level probe is dirty, so the machine thinks the boiler is full or empty.

Check the boiler pressure gauge if your machine has one. Many commercial espresso machines hold their steam boiler at roughly one to one and a half bar, but the correct figure is in your machine's manual. A gauge that sits low while the machine is on points to the heater or the pressure control.

### Weak, watery or fast espresso

- Grind set too coarse, or burrs worn so the setting no longer holds.
- Stale beans, which give thin crema on any machine.
- A shower screen coated with oil or scale, giving uneven flow.
- A group gasket that has hardened and leaks around the portafilter.
- A pump that cannot reach the set pressure.

Run a controlled test before you message us. Dose the same weight, grind a notch finer and time the shot. Many cafés aim for around 25 to 30 seconds, but your roaster's recipe comes first. If the shot will not settle whatever the grind, look at the grinder burrs and then the machine.

### Weak or slow steam

- Dried milk blocking the holes in the steam tip.
- A leaking steam valve, shown by water or steam at the knob or the wand.
- Scale in the boiler lowering the pressure.
- A pressure switch that cuts out too early.

Soak the tip in milk cleaner and clear each hole with a pin. If steam is still weak, stop using the wand and book a visit. Running a machine with low pressure for weeks hides a fault that is cheap today.

### Water leaks

| Where the water appears | Likely cause | First step |
| --- | --- | --- |
| Around the group head during a shot | Hardened group gasket | Replace gasket and screen |
| Under the machine | A loose fitting, hose, pump or boiler seal | Switch off, dry the area and book a visit |
| From the steam valve or knob | Worn valve seal | Do not overtighten, book a visit |
| In the drip tray, constantly | Blocked drain or a solenoid leaking through | Clear the drain, then book a visit |
| Behind the machine | Water inlet connection or softener hose | Check the connections, then book a visit |

Water near mains wiring is dangerous. If you see water under a machine, switch it off at the isolator before you do anything else.

### No water from the group

- The mains water is off, or the softener bypass has been left closed.
- A solenoid valve is blocked with scale or coffee grounds.
- The pump has failed or is air-locked.
- A group flow meter has failed on a volumetric machine.
- A control fault is not sending the signal to open the valve.

Check the tap on the water supply and the softener first. If a pump hums but delivers nothing, the line is probably air-locked or the pump is worn.

### Machine will not fill, or overfills

- A level probe coated with scale or a damaged probe wire.
- A fill valve that is stuck open or closed.
- A pump that is not starting when the boiler calls for water.

An overfilling boiler can push water through the steam wand, so stop using the machine until it is checked.

### Error messages and dead displays

Bean-to-cup and volumetric machines show messages when a sensor or a part fails. Write the message down, with the time and what the machine was doing. Messages pointing to scale, a brew unit or a milk system are common, and each has a cleaning procedure in the manual. A message that returns straight after cleaning needs a visit.

## Commercial grinders: the part everyone forgets

Customers blame the espresso machine for what the grinder does. A worn grinder gives uneven particles, so some of the water flows fast through coarse grounds and some stalls in fine ones. The cup tastes sour and bitter at the same time.

| Symptom | Likely cause | What to do |
| --- | --- | --- |
| You keep grinding finer for the same beans | Burrs are wearing | Replace the burrs |
| Loud scraping or squealing | A hard object, or burrs touching | Switch off, empty the hopper, book a visit |
| Motor hums and does not turn | Jam, capacitor or motor fault | Switch off and book a visit |
| Uneven dose from the doser | Coffee oil and grounds in the doser | Clean the doser and sweeper |
| Grind changes through the day | Heat or humidity, or a loose collar | Check the collar, then the burrs |

Burrs on a busy café grinder are consumables. Many cafés replace them on the roaster's or maker's recommendation, and the figure depends on the burr type and the volume of coffee ground. We check burr wear at every service.

## Dubai water, scale and what it does to a coffee machine

Scale is the single most expensive thing in a commercial coffee machine, and it builds invisibly. It coats heating elements so they take longer to heat and burn out sooner. It narrows pipes and solenoids until flow drops. It cakes level probes until the machine misreads its own boiler. In a hard-water area, an unfiltered machine shows the effects far sooner than most owners expect.

| Part of the system | What it does | Your routine |
| --- | --- | --- |
| Carbon filter | Removes chlorine and improves taste | Change it by the date printed on the cartridge |
| Water softener | Exchanges hardness minerals for sodium, so less scale forms | Keep salt in the brine tank, confirm the regeneration runs and leave the bypass shut |
| Pressure regulator and gauge | Holds line pressure steady for the pump | Check the reading matches the manual |
| Descaling | Dissolves the scale that gets through | On a schedule matched to your water and volume |
| Drain and drip tray | Carries away flush water | Clear daily, check the waste line |

A softener protects only while someone looks after it. On site we regularly meet one that was fitted years ago and never serviced, passing hard water straight through. A water test at the machine tells you which situation you are in.

### Descaling, done carefully

- Use a descaler made for coffee equipment, and follow the pack for the dose.
- Never mix descalers or use household acids, which can attack seals and metal.
- Descale boilers and lines on the interval your water and volume demand. On a bean-to-cup machine, use the machine's own descale programme.
- Rinse thoroughly with fresh water afterwards, running the group heads and the steam wand, and pull a waste shot before serving.
- Powder descalers such as Cafetto Restore are mixed in warm water, run through the brew head and wand in stages, left to stand, then rinsed with a full tank of fresh water. Follow the maker's pack for your machine type.

Boilers that have never been descaled need a longer, repeated treatment. We flush them on site, show you what came out and agree a schedule.

## Commercial bean-to-cup machines: the faults that stop service

A bean-to-cup machine does the barista's work inside a cabinet: it grinds, doses, presses the coffee, brews it and, on many models, froths milk. Staff only touch a screen, so a fault looks like a message and a dead button. Behind the message there are four systems, and each fails differently.

| System | What it does | How it fails | What to do |
| --- | --- | --- | --- |
| Brew unit | Presses the ground coffee and pushes water through it | Grease dries out, residue builds up, seals wear. Coffee comes out weak or wet, or the unit jams | Clean and regrease it on the maker's schedule. Replace seals when worn |
| Grinder | Grinds each dose fresh | Burrs wear, the chute blocks, the motor strains. Coffee tastes sour or the machine reports an empty hopper with beans in it | Clean the chute, check the burrs, replace when worn |
| Water and heating | Heats water in a boiler or thermoblock | Scale slows heating and blocks lines. Messages ask for descaling or report a temperature fault | Use the descale programme, fit and service a filter |
| Milk system | Draws milk, heats and froths it | Dried milk blocks the tubes. Foam turns thin, milk spits, or a tube leaks | Run the milk rinse after service and the deep clean daily |

Do not keep pressing the button after a brew-unit message. A unit forced through a jam can crack a part that costs far more than the clean that would have fixed it. Write the message down, switch the machine off if it makes grinding or clunking noises, and send it to us with a photo of the screen.

Daily care for a bean-to-cup comes down to three jobs: empty and rinse the grounds container and drip tray, run the milk-system cleaning cycle with the cleaner the maker specifies, and wipe the dispensing area. Weekly, take out the brew unit if the model allows it, rinse it under warm water without soap and let it dry before refitting. Follow the maker's manual for the exact steps on your model.

## Batch filter brewers and airpots

The simplest machines still fail, and they fail in a pattern: slow, weak or lukewarm coffee, and a puddle.

| Symptom | Likely cause | What to do |
| --- | --- | --- |
| Slow brew, small output | Scale in the heating tube or a blocked spray head | Descale, clean the spray head |
| Lukewarm coffee | Failed element or thermostat, or a very scaled heating tube | Descale, then test the element and thermostat |
| Hot plate stays cold | Switch, element or thermostat fault | Book a visit |
| Water on the counter | Overflowing basket, blocked spray head or a cracked tank | Check the basket and spray head, then book a visit |
| Brewer fills but never starts | Fill valve or control fault | Book a visit |
| Weak coffee, correct ratio | Spray head blocked so water bypasses the grounds | Clean the spray head |

Filter brewers sit on the counter all day and take less cleaning attention than an espresso machine, so scale builds up quietly. In a hard-water area, a monthly descale is a reasonable starting point, and the maker's manual overrides it. Rinse thoroughly, and brew a full cycle of plain water before the next service.

## Pod and capsule machines in offices

Office machines are used by many people who are not responsible for them, which is where the faults come from. Staff leave the tank empty, pull the capsule container out mid-cycle or push the wrong cup under the spout.

- Water tank. Fill with fresh water. A tank that is left to stand grows a film, and an empty tank can run the pump dry.
- Used-capsule container. Empty it daily. A full container jams the mechanism.
- Needle or piercing unit. Coffee oil and grounds clog it. The maker's manual shows how to clear it. Do not use a metal pin on a soft part.
- Descale lights. Treat them seriously. Ignoring the light shortens the life of the pump and heater.
- Leaks under the machine. Unplug it and book a visit. Water near a socket is a safety issue.

Name one person on each floor as the machine's keeper. A weekly two-minute check by one person prevents most of the breakdowns we see.

## Milk systems and steam wands: hygiene and safety

Milk is the dirtiest thing a coffee machine handles. Residue left in a steam wand or milk tube grows bacteria and blocks the outlet, and a blocked outlet is a safety risk because the wand can spit hot milk.

- Wipe the steam wand after every drink with a clean, damp cloth used only for this purpose.
- Purge the wand for a second after each use to clear the milk back out of the tip.
- Soak the tip and the wand in milk-system cleaner at the end of every day.
- Clear tip holes with a fine pin, never with a knife.
- Replace wand seals and O-rings when they harden, because a leaking wand loses steam and drips milk into the boiler area.
- On automatic milk systems, run the cleaning cycle as often as the maker's manual says and use the specified cleaner.

A wand that spits irregularly, leaks at the base or has a knob that will not seal needs a visit. Do not keep forcing a valve that will not close.

## Where the machine sits: heat, power and plumbing

Many commercial coffee faults start with how the machine was installed, not how it was built. A short checklist for new sites and for machines that keep failing.

| Item | What it should be | What goes wrong |
| --- | --- | --- |
| Water supply | Filtered and softened mains water, steady pressure, a shut-off tap within reach | Hard water scales the boiler. Low pressure starves the pump |
| Drain | A properly fitted drain line sloping away from the machine | A blocked or flat drain floods the cabinet or the drip tray |
| Power | A circuit sized for the machine's rating on the plate, with a proper isolator | Shared sockets and extension leads overheat and trip |
| Position | Level, with space around it for air and for service access | A machine jammed in a recess traps heat and cannot be reached |
| Ambient temperature | A ventilated bar area | Hot kitchens raise internal temperatures, which stresses controls and sensors |
| Cable and plug | Undamaged and fully inserted | A warm plug is a warning to stop and call an electrician |

If a machine trips the breaker repeatedly, do not keep resetting it. Switch it off and send us the plate details. Repeated trips mean a fault in the heater, a wet connection or an overloaded circuit, and each needs a different fix.

## Keep a simple machine log

A notebook or a shared phone note beside the machine saves money. After a few months it shows patterns that nobody remembers.

- Date and time of each fault, with the exact message or symptom.
- What was done, and by whom.
- Date of the last gasket change, descale, filter change and softener check.
- Cups per day, roughly. A jump in volume changes the service interval.
- A photo of the pressure gauge reading on opening, once a week.

When you message us, the log lets the technician arrive with the right parts. A fault that comes back every two weeks is a different job from one that has never happened before.

## Questions to ask any repair company before they open your machine

Whoever you call, these questions separate a technician who diagnoses from one who guesses.

1. **What will you measure first?**: A good answer names pump pressure, boiler pressure or temperature, and the water side. A bad answer is that they will replace the likely part.
2. **Will I see the old part?**: A failed gasket, screen or valve should be shown to you, with the reason it failed.
3. **What is the price before you start?**: One figure for the part and the labour, given before work begins, not an open-ended hourly charge.
4. **Are the parts genuine?**: Ask for genuine or maker-approved parts and ask what cover comes with them.
5. **What happens if it fails again?**: Cover on the part and the labour should be stated in writing.
6. **Does this affect my supplier agreement?**: A technician who has read the agreement, or asks to see it, protects you from a clause you did not know about.

We answer all six before the visit, on WhatsApp.

## Spares worth keeping on site

| Spare | Why keep it | Roughly how many |
| --- | --- | --- |
| Group gaskets | A common cause of a leak at the group | One set per group |
| Shower screens | Clogged or damaged screens give uneven flow | One per group |
| Blind basket | Needed for backflushing | One per group |
| Steam tip | Blocks easily and is cheap | Two |
| Water filter cartridge | Late replacement lets scale through | One spare per filter |
| Grinder brush and cleaning tablets | Keeps the grinder chamber clean | One of each |
| Machine cleaner and milk cleaner | Daily routine runs out at the worst time | A month's supply |

A spares kit costs little and covers the stoppages that happen most often. For parts that belong to your specific model, send us the plate and we will tell you which to hold.

## Cleaning routine for staff

Most breakdowns we are called to trace back to a routine that slipped. This schedule keeps a machine serving.

| How often | What to do |
| --- | --- |
| After every drink | Purge and wipe the steam wand, then wipe the group head and screen |
| End of every day | Backflush every group with a blind basket and cleaner and rinse. Wash portafilters, baskets and drip trays. Clear the grinder chamber |
| Weekly | Soak portafilters and baskets. Take off and clean the shower screens, and look at each gasket for hardening |
| Monthly | Check the softener, filter, water pressure and drain. Check steam tips and valves |
| Every 3 to 6 months (busy outlets) | Replace group gaskets and screens |
| Every 6 to 12 months | Full service of the boiler, pressure switch, pump, valves and safety valve |

The gasket is the cheapest protection on the list. Changing it early costs a few dirhams, while letting it fail mid-service costs a call-out and a lost morning.

## Service plans for cafés, hotels and offices

A service plan turns the checks above into booked visits, so nobody has to remember them. The plan is written down, so you know what each visit covers.

| Visit includes | Why it matters |
| --- | --- |
| Group gaskets and screens inspected, replaced when worn | Stops a common mid-service leak |
| Pump pressure measured with a gauge | Finds a tired pump before it fails |
| Boiler, pressure switch, level probes and safety valve checked | Catches scale and control faults early |
| Water filter and softener checked | Protects every part downstream |
| Grinder burr wear and grind consistency checked | Keeps the cup consistent |
| Steam valves, tips and wands inspected | Keeps steam strong and safe |
| Written note of findings and parts due | You can plan spend, not react to it |

The right rhythm follows how hard the machine works. A hotel breakfast machine and a café that opens at six are different cases. Tell us your cups per day and opening hours and we will suggest a visit schedule and a price for your site.

## When the machine fails in the middle of service

A breakdown at nine in the morning goes better with a plan. These steps save the most time.

1. **Switch off and note what happened**: A bang, a burning smell, water on the floor, a tripped breaker and a loss of flow each point to a different part.
2. **Stop if there is water or a burning smell**: Keep the machine off, and resist resetting the breaker again and again.
3. **Run the two-minute checks**: Mains water tap open, softener bypass closed, drain clear, power switch on, machine filled to its level.
4. **Message us with the facts**: Send the model, the plate photo, a short video of the fault and when it began.
5. **Keep trading if you can**: Serve from a second machine, a batch brewer or a grinder-and-filter setup, and tell us if the day needs to be recovered around your opening hours.
6. **Fix the cause, not only the symptom**: After the repair we note why it failed. Two gasket failures in a year mean the change interval is too long.

Keep a small spares kit on site: group gaskets, shower screens, a steam tip and a blind basket. They cost little and cover the three common stoppages.

## Repair or replace a commercial coffee machine

These machines are designed to be serviced, so most decisions favour repair.

| Fault | Our view |
| --- | --- |
| Gasket, screen, steam valve, solenoid | Repair. The cost is small |
| Pump, pressure switch, probe | Repair. The machine is worth it |
| Heating element or boiler seal | Get a quote, then decide |
| Failed control board on an old machine | Weigh the quote against a new machine |
| Several major failures at once on a very old machine | Compare carefully |
| Bean-to-cup with a worn brew unit and grinder | Weigh the total against the machine's age and your volume |

We apply one test everywhere: if the quote nears half the price of a comparable new machine, we advise buying new. A sound commercial machine seldom gets there.

## Buying a used commercial machine

- Check the voltage and phase on the plate. The UAE supply is 230 V single phase and 400 V three phase. A machine built for another voltage must not be plugged into a UAE socket, with or without a plug adaptor.
- Replace the group gaskets and screens as a matter of course.
- Look for scale: remove a group screen and a steam tip and see what is behind them.
- Ask for a pressure reading at the group, and run the machine long enough to see it hold.
- Check that parts for that model are available before you buy.

We can inspect a used machine before you commit, and give you a written list of what it needs.

## What happens at a commercial coffee machine visit

1. **Your message**: Tell us the model, the symptom and how long it has been down, with a photo of the plate.
2. **Listen and look**: The technician runs water from the groups and wand, listens to the pump and checks the gauges and the water side.
3. **Measure**: Pump pressure, boiler pressure and temperature are read before anything is replaced.
4. **Quote**: You receive one price. A faulty part is shown to you.
5. **Repair and test**: If the part is in the van, it goes in at once. We test a shot and the steam before leaving.
6. **Record**: You get an invoice and one month of cover on the new part.

## Commercial coffee machine repair near me: areas we cover

We repair commercial coffee machines in Dubai Marina, JBR, Palm Jumeirah, JLT, Downtown, Business Bay, Jumeirah, Al Barsha, Dubai Hills and Deira. Elsewhere in the UAE, message us and we will say what is possible.

## Frequently asked questions

### Who repairs commercial coffee machines in Dubai?

We do, at your café, restaurant, hotel or office, usually the same day. Message us on WhatsApp at +971 55 209 9785. A new machine or one supplied under a coffee agreement should go to the dealer or supplier first.

### How much does commercial coffee machine repair cost in Dubai?

The visit is AED 100 plus VAT. The repair is AED 80 to AED 400 depending on the fault, and the price is agreed before work begins.

### Do you repair both espresso and bean-to-cup machines?

Yes, plus batch brewers, grinders and pod machines.

### Can you repair my machine on site?

Usually yes. A machine goes to the workshop only when the repair cannot be done on the bar, and only with your agreement.

### My espresso machine has no pressure. What should I check?

Check the grind and the beans, then the group gasket and shower screen. If those are fine, the pump or the pressure control needs a gauge test.

### Why does my group head leak?

The gasket has hardened. Replacing it with a new screen is a lower-end repair.

### How often should I service a commercial coffee machine?

Many busy cafés book a service every six months, with gaskets changed more often. Your cups per day set the real interval.

### Do you offer service plans?

Yes. Tell us the machine, your daily volume and opening hours, and we will suggest a plan and a price.

### Do I need a water softener?

In Dubai, a filter and a softener protect the heating parts of any machine that runs all day, and both need servicing.

### Will repairing a machine void a supplier agreement?

It can. Read the agreement first, and ask the supplier if they will attend.

### What descaler should I use?

One made for coffee equipment, used as the pack says, with a full fresh-water rinse afterwards. Never mix products.

### Can I use a machine bought abroad in the UAE?

Only if the voltage and phase on its plate match the UAE supply. Check the plate before plugging in.
